We offer online quotations, online cover and policy administration on a range of insurances solely for permanent residents of the United Kingdom accessing and using the Website from within the United Kingdom. Accordingly, this Privacy Statement is directed only at such persons and should be read in conjunction with our Website Terms and Conditions. Please see ‘Website Terms and Conditions’.
By Law we are required to obtain your consent to processing your data. We will assume that you have given your consent if you provide us with any data via our web sites or via replies to advertisements. The Internet is a global medium and therefore your information may be transferred outside the European Economic Area en route. By submitting your information, you consent to such a transfer.
When do we collect personal information
We collect personal information directly from you when you register for any online service with us or deal with us over the telephone, such as a request for a quote, the purchase of an insurance policy through us or the provision of policy administration or claims handling services. We limit the collection of personal information to what we need to know to maintain the accuracy of our records, to verify the identity and assess the financial standing of customers, to assist us in providing a high standard of service, and to fulfil any legal and regulatory requirements. We will do our best to ensure that your details are accurate and kept up-to-date and we would ask you to assist us in doing so by notifying us in writing of any changes to your personal information.
How we use your data
We are registered under the Data Protection Act 1998 (the “Act”). By accepting this Statement you consent to us using and processing your personal and sensitive personal data (where this is necessary, for example health information or criminal convictions) for the purpose of procuring insurance policies and handling claims, if any. Where you provide us with personal or sensitive personal information that relates to anyone other than you, you must obtain the explicit consent of the person to whom the information relates both to the disclosure of such information to us and its use by us as set out below.
We may disclose your personal and sensitive personal data to third parties involved in providing products or services to us or the insurer, service providers we have retained to perform services on our behalf this includes; group companies, affinity partners, (re)insurers, other insurance intermediaries, insurance reference bureaus, medical service providers, fraud detection agencies, loss adjusters, solicitors/barristers, accountants, parties involved in the claims handling process and/or service providers where necessary to provide and administer our products, services and/or who may provide ancillary services, reinsurance companies and insurance regulatory authorities, and as may be required by law. Your information may also be used for offering renewal, research and statistical purposes. Your personal data may be transferred to any country, including countries outside the European Economic Area for any of these purposes and for systems administration.
In assessing any claims made, the insurer or its agents may undertake checks against publicly available information (such as electoral roll, county court judgements, bankruptcy orders or repossessions).
The Act entitles you to receive details of personal and/or sensitive data held about you by us. You have the right to apply for a copy of your information, for which we may charge an administration fee of £10, and to have any inaccuracies corrected

- for the purposes of insurance administration by us or our agents, by our re-insurers and may be disclosed to regulatory bodies for the purposes of monitoring and / or enforcing our compliance with any regulatory requirements
- to offer you the opportunity to renew a policy or purchase a replacement policy
- to update our records about you
- to check your identity to prevent money laundering (unless you furnish us with satisfactory proof of identity)
- for the investigation of or prevention of crime
- to undertake credit searches and fraud searches (see further below)
- to enable us to conduct research and statistical analysis and facilitate our internal customer service monitoring
- to improve the quality of our service and the efficiency of our Website and systems
- if prior consent has been received, we may market you with other products which we believe may be of interest to you
How we process your personal information
Insure4Retirement is the registered data controller in relation to personal information held about you for the purposes of the Act.
All personal information provided by you is held securely and in confidence by us in our computerised and other records. When we process your personal information we do so in compliance with the terms of the Act. We maintain strict security standards and procedures with a view to preventing unauthorised access to your data. We use leading technologies, such as data encryption, fire walls and server authentication to protect the security of your data. All our staff and all third parties we may hire from time to time to provide support services are required to observe our privacy standards.
Monitoring or recording of your calls, e-mails and other communications may take place in accordance with UK law, and in particular for business purposes such as for quality control and training, processing necessary for the entering into or the performance of a contract; to prevent unauthorised use of our telecommunication systems and web sites; to ensure effective systems operation; to meet any legal obligation; in your vital interests; in order to prevent or detect crime; and for the purposes of the legitimate interests of the data controller. Insurance Dialogue Limited may pass your personal information to other companies for processing on its behalf. Some of these companies may be based outside Europe in countries, which may not have laws to protect your personal information, but in all cases, Insurance Dialogue Limited will ensure that it is kept securely and only used for the purposes for which you provided it.

Please include your full name, address and your quote reference or policy number enclosing a £10 administration fee made payable to Insure4Retirement. You may also request that we update your preferences or remove any personal information we hold about you. We will make all reasonable efforts to delete your information from our files if it is deemed appropriate.
We will deal with your request within the 40 day regulatory period.
How we protect your information
We capture your personal information, such as names and addresses, over a secure link using recognised industry standard Secure Sockets Layer (SSL) technology, which encrypts the data whilst passing it over the web. This will be indicated on most browsers by a lock in the status bar at the bottom of the screen.
Firewalls are used to block unauthorised traffic to the servers and the actual servers are locked in a secure location, which can only be accessed by authorised personnel.
Collection and processing of sensitive information
By requesting that we provide you with online services, or contacting us over the telephone to request the provision of services in relation to a quotation or insurance policy, we will consider you to give consent to our collecting and processing (as outlined above) of any sensitive information about you and/or relevant others which you may be required to provide
When you visit our site, we may attach a “Cookie” to your browser. Cookies are small text files that allow us to identify your computer, recognise repeat users, observe anonymous user behaviour and compile aggregate data about users in order to improve the service we provide.
The data we collect using Cookies does not identify individual users and is only used for tracking and analysing use of the site. In some cases we use a reputable third party company for these purposes.
Our website may also use a website recording service which may record mouse clicks, mouse movements, page scrolling and any text keyed into website forms.
